2. How we collect your data

Personal data may be collected through the following channels:

  • Contact forms on this website
  • Appointment scheduling through Cal.com
  • Payment processing through Stripe
  • Email communication with the practice
  • Online sessions held through Google Meet
  • Session notes and client records kept by the psychologist
  • Billing and invoicing

3. What data we process

Depending on the situation, we may process your name, contact details (email, phone), billing details, appointment information, content of your messages, and clinical information shared during sessions or in writing. Clinical information is considered a special category of personal data under the GDPR and is treated with the highest level of confidentiality.

4. Purpose and legal basis

We process your personal data for the following purposes:

  • To respond to questions sent through the contact form or by email
  • To schedule, prepare and conduct psychological sessions
  • To keep clinical records as required by professional standards
  • To process payments and issue invoices
  • To comply with legal and regulatory obligations applicable to psychologists in the Netherlands

The legal basis is either the performance of a treatment agreement, your consent, a legal obligation (such as tax or healthcare law), or the legitimate interest of running the practice.

5. Third party processors

We use a small number of carefully selected service providers to deliver the practice. These providers act as processors and are bound by their own privacy and security obligations:

  • Cal.com for appointment scheduling
  • Stripe for payment processing

  • Our hosting and email infrastructure providers for this website

Where data is transferred outside the European Economic Area, we rely on the safeguards offered by these providers, including Standard Contractual Clauses.

6. How long we keep your data

Clinical records are kept for the period required by Dutch healthcare law (currently twenty years from the end of treatment). Invoicing and tax related records are kept for seven years as required by Dutch tax law. Contact form messages and general correspondence are kept only as long as needed to respond and follow up.

7. Your rights under the GDPR

You have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data, where legally possible
  • Object to or restrict certain types of processing
  • Request a copy of your data in a portable format
  • Withdraw consent at any time, where processing is based on consent
  • Lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens)

To exercise any of these rights, please contact us at esther@menkreomethod.com.

8. Security

We take appropriate technical and organisational measures to protect your data, including access controls, secure communication channels, and limiting access to clinical information to the psychologist only.
